CONFERENCE ROOM INFORMATION

Diller Building Occupants are free to reserve any one of 6 conference rooms throughout the building


Availability and Reservations for each conference room can be made by following instructions below.

Please include meeting title, name and contact number when scheduling a new meeting. Note existing meetings are given precedent. Instructions below list of rooms.

Reservations for Bakar Auditorium, HD-160 can be made in 25 Live in myAccess.

*Each conference room (except HD-491) contains an LCD projector, pull down screen, and conference phone. Projector cables for VGA (including Lightning & HDMI adapters) available in room. Please provide your own laptop.

**HD-491 has a wall mounted monitor and conference phone.

Instructions (most users, especially those who use a PC):

  • Go to Outlook Calendar Home screen to view available Diller Conference Room calendars. If you need to add the conference room calendars follow the indented instructions immediately below:
    • To add conference rooms: Select Open Calendar->From Room list-> switch search setting to ‘More columns’ (radio button at top of search window) and search Diller. The following rooms will appear:(Conference room, Diller-491; Conference, Diller-291; Conference, Diller-295; Conference, Diller-296; Conference, Diller-391; Conference, Diller-392;).
  • Select each calendar to add (by double clicking on each) so they appear in the ‘Rooms ->’ field bar. Then select OK. They will show up on your calendar as Rooms.
  • To make an appointment, select desired room calendar, use calendar icons ‘New Appointment’ to book your meeting. Please include Meeting Name, Your name (organizer), and contact number in the details. Eg FRSS Team Meeting – John Doe 415-502-XXXX.
    • Note you will be warned if there is a conflicting meeting and it is your responsibility to avoid conflicts. The older meeting will take precedent.
  • (REMOVE & REPLACE WITH NEW LANGUAGE)  Invite others by selecting ‘Invite Attendees’ from Appointment menu bar. Save when complete and make sure your meeting appears on the appropriate conference room calendar.
  • Once scheduled, if you need to make changes to your own meeting you can open them from your own calendar, where you can change the meeting details or cancel the meeting. Note: You will not be able to edit other people’s meetings.

Instructions (those using OWA – recommended for MAC users):

  • Open ‘Mail’ from the ‘MyAccess’ homepage. Enter credentials if needed.
  • To view Conference room Calendars, select the
    icon from the top of the page (note shade may be different)
  • Under Home header select
    icon
  • Your available calendars & conference rooms will show up on the right hand side of your page. Select which conference room calendar you would like to view for availability. If you need to add the conference room calendars follow the indented instructions immediately below:
    • To add a conference room, click the dropdown menu ‘Add Calendar’ and select ‘From Directory’
    • Type ‘Diller’ and click ‘Search Directory’; select the Diller Conference room you’d like to view and it will become one of your Rooms
  • Reserve a room by selecting the ‘+ New’ from the top calendar bar. Please include Meeting Name, Your name (organizer), and contact number in the details. Eg FRSS Team Meeting – John Doe 415-502-XXXX.
    • Note you will be warned if there is a conflicting meeting and it is your responsibility to avoid conflicts. The older meeting will take precedent.
  • Add people to your meeting from within the event details screen on the upper right hand of window. Use scheduling assistant to avoid conflicts.
